Your responsibilities

Your role is a fix term contract of 1-year for a maternity cover. There could be an opportunity to internalize after the contract within HR or Travel Management.

Offices located at Parque das Nações: Avenida Infante Dom Henrique n 345

Main tasks fall under:

  • Trainings
  • OSH
  • Travel Management
  • Onboarding support
  • Internship program

You will:

  • Manage external training bookings and scheduling.
  • Maintain accurate training records for yearly Unique Report (relatório único)
  • Manage safety equipment and workwear requests and inventor
  • Support on OSH events and communications throughout the year
  • Support on Onboarding process
  • Support on Academic Internship program
  • Maintain and update any working files regarding HR/OSH/Travel
  • Prepare monthly HR/OSH/Travel reports as needed
  • Book business travel arrangements, including:
    • Flight bookings
    • Hotel reservations
    • Rental car bookings
    • Travel insurance
    • Social Security and ACT communications regarding travel
  • Guarantee all documentation regarding main tasks is compliant and audit-ready

Working Team: 1 HR Operations & 1 Project Mobility Operations

Hardware: both laptop and working phone provided with ergonomic setup at the office.

Workwear: Workwear available and provided upon request

Your profile

  • You have a high school diploma or professional diploma.
  • You have minimum of 1 year of experience in administrative support, HR administration, or similar roles.
  • You are comfortable communicating with external suppliers and service providers via email and phone. (client experience is also valued)
  • you have good organisational skills and attention to detail.
  • You are able to manage multiple tasks in a structured way.
  • You have proficiency in MS Office.
  • You have very good English skills, both written and spoken (exclusion factor)

From receiving your documents to acceptance: the application process

Step 1

Online application
